The Program Manager is responsible for the execution of all Inward Bound retreat experiences. In short, this role is one of the key touchpoints for every teen, family, mediation teacher, and mentor involved with or impacted by our programs.
Our Program Manager is responsible for planning and executing all our meditation and mindfulness programs, serving teens, young adults, educators, and other youth-serving professionals. Working closely with the Executive Director, the Manager will help advance Inward Bound’s strategic priorities and vision for the future of public and custom programs. This is not an entry level role. The Program Manager will bring a passion for youth-centered programming and deep knowledge of program delivery, budgeting, and logistical management.
The Inward Bound team collaborates virtually, and this position requires that you meet and build relationships over Zoom. The ideal person for this role is also comfortable spending a couple weeks a year on-site at Inward Bound programs.
The right candidate feels strongly aligned with Inward Bound’s mission, vision, and values, including a personal commitment to mindfulness and experience delivering teen and young adult programming. This role requires confidently prioritizing moving pieces across regions, and comfort with being self-directed in detail-oriented work. This position requires skill at virtually coordinating and communicating with a wide spectrum of contractors (including regional retreat staff) with different identities.
Program Implementation and Evaluation
- Lead implementation and evaluation of Inward Bound’s public and custom programs serving teens, young adults, and youth-serving professionals.
- Partner with the ED on program strategy to advance programmatic goals in alignment with Inward Bound’s strategic plan.
- Gather and synthesize evaluation data to assess program impact and inform continuous improvement.
- Co-create new program offerings, in collaboration with the Executive Director (ED) and Guiding Teachers Council (GTC).
Program Operations & Management
- Oversee all logistics for public and custom retreats in varying U.S. locations, including venue contracting, travel, supplies, transportation, and on-site coordination.
- Manage registration systems and participant communications, ensuring smooth processes from inquiry to post-retreat follow-up.
- Serve as the main point of contact for potential program participants and their families, including answering questions about retreats and mindfulness.
- Serve as the primary contact for retreat centers, contractors, and program partners throughout the year.
- Coordinate retreat staffing and team formation in collaboration with the ED, GTC, and retreat Coordinating Teachers, ensuring inclusive recruiting/hiring and equitable practices.
- Support implementation of online programs and ensure tech systems function smoothly (Salesforce, Google Suite, FormAssembly, Authorize.net).
- Staff 1–2 teen retreats annually to maintain direct program connection.
- Coordinate effective programmatic outreach to meet program fee and registration goals, including supervising Regional Outreach Coordinators and other program staff, as budget allows.
Custom Program Development & Partnership Management
- Respond to and cultivate custom program leads; negotiate contracts and manage partner relationships, in collaboration with ED.
- Identify and coordinate appropriate teachers and facilitators for each program, co-developing project plans with them, in collaboration with ED.
- Manage custom programming logistics to ensure timely, high-quality delivery.
Financial & Administrative Oversight
- Oversee and reconcile program budgets, including program fees/income and program expenses/contractor costs and invoices
- Manage and track invoices for retreat and custom program contractors.
- Send and manage contracts for retreat and custom program contractors.
- Ensure accurate financial tracking and reporting for both public and custom programs in coordination with the ED.
- Draft regular reports for Board and ED on public and custom program outcomes.
Leadership, Collaboration & Community Engagement
- Support coordination of the GTC, with ED, including teacher application reviews, assistant teacher and teacher recruitment, and ongoing administrative support.
- Build and maintain partnerships with schools, community organizations, mindfulness networks, and alumni to increase program participation and impact.
- Contribute to cultivating a supportive, collaborative culture across staff, retreat teams, and volunteers.
Inward Bound is a small mission-driven organization and requires a high degree of flexibility in responsibilities, with job roles being redefined by the ED as necessary.
- Deep alignment with Inward Bound’s mission, vision, values, and staff competencies, including a commitment to mindfulness, equity, and inclusion.
- Knowledge and personal practice of mindfulness or meditation, and the ability to bring that awareness into program design and leadership.
- At least five years experience in program management, ideally in youth, education, or nonprofit settings.
- Demonstrated success implementing and evaluating programs that center youth voice and address equity, justice, accessibility, and diversity.
- Proven ability to manage multiple complex projects, adapt to shifting priorities, and maintain a calm, solutions-oriented approach.
- Skilled at collaborating with diverse teams of staff, contractors, and community members, and fostering an inclusive, relational work culture.
- Experience with budget management and financial tracking, ensuring fiscal responsibility and alignment with organizational goals.
- The ability to work mostly independently while keeping remote colleagues in the loop with regular and strong communication
- Comfort in fostering collaboration with our Guiding Teachers Committee, Coordinating Teacher, Executive Director to manage retreat staff teams.
- Deep trust in the wisdom of young people and the ability to create safe, empowering spaces for their growth and leadership.
- Excellent communication, problem-solving, and organizational skills, with attention to detail and follow-through.
- Comfort working in remote environments, using technology to organize and systematize operations.
- General proficiency in technology and the interest and willingness to learn new systems and create efficiency in current systems. Our organization uses Google Suite, Salesforce, Zoom, Bill.com, and Mailchimp.
- Understanding that Inward Bound operates with seasonal workflow rhythms opposite a school calendar;, with the busiest periods typically falling between April–August and December (including over the New Year’s holiday).
- Willingness to a 5–6 night retreat in the first year of employment and support 1–2 retreats annually, in addition to occasional travel for meetings or conferences.
This position is fully remote. We welcome applications from all areas of the United States, with preference given to candidates residing in states where retreats are hosted and core staff is located—CA, DC, MA, MD, NY, and VA. We do not have the ability to sponsor international candidates. You will work with colleagues in time zones across the country, with flexible hours sometimes required.
This is a full-time position at 32 hours a week. The salary range for this position is $60,000–$65,000 annually.
